    This notice explains how Cop Inc. handles personal information in connection with cop.boutique, customer accounts, orders and customer-service requests. It covers information you provide, information generated when you use the storefront, and relevant information received from sellers and service providers. It also explains how to contact us about access, correction, consent or a privacy concern.

    Cop operates a marketplace in which sellers ship directly to buyers. Providing delivery and order information to the seller fulfilling an order is therefore part of completing the transaction. This notice should be read with the information presented when you use a particular service and with the applicable notices of independent providers, including Shopify and payment providers.

    1. Information you provide

    When you shop or attempt a purchase, the transaction may involve your name, email address, telephone number, billing and delivery addresses, selected products, sizes, quantities, order instructions and payment-related information. Account functions may also involve sign-in details, saved preferences and order history. Payment-card information is submitted through the available checkout and payment services; the fact that a payment is processed does not mean Cop support staff need your complete card number.

    When you contact us, we receive the contents of your message and the information you choose to attach. This may include an order number, photographs of an item, correspondence about delivery or documents relevant to a return or authenticity concern. Send only information relevant to the request. Do not include account passwords, sign-in codes or a card security code in a support message.

    2. Information generated through storefront use

    Storefront operation can generate information such as an IP address, browser and device characteristics, pages and products viewed, referring pages, search terms, timestamps and interactions with shopping features. Cookies, browser storage, server logs and similar technologies can support a cart, account sessions, language preferences, recently viewed items and measurement of site use.

    A link may contain a product or offer identifier, a reference value or information representing a search or filter selection. Encoding or encrypting a reference value does not make the whole browsing activity anonymous. Information connected with a session, account or order may remain personal information. Do not share a private checkout or account link publicly merely because part of the address is difficult to read.

    3. Information received from sellers and providers

    The seller fulfilling an order may provide information about stock, fulfilment, shipment tracking, delivery issues and responses to an order-related inquiry. Payment and commerce providers may provide transaction status, payment references and information relevant to risk assessment or dispute handling. Carriers may provide shipment events and delivery information.

    We use information received from another party in connection with the relevant purpose, such as completing the order or resolving a delivery problem. The other party’s own collection and use of information may also be governed by its privacy notice. This notice does not imply that every seller has access to every customer’s account or browsing history.

    4. Why information is used

    Information is used to operate the storefront, maintain the cart and account functions, process purchases, communicate order updates, arrange direct fulfilment by sellers and handle returns, refunds, delivery questions and authenticity concerns. Relevant transaction and device information may also be used to identify unauthorized activity, protect accounts and investigate suspected misuse.

    Information about use of the storefront may help diagnose technical problems, understand shopping activity and assess the performance of the site and marketing. Marketing messages and personalized advertising must be handled according to the preferences you provide and the consent or other authority required by applicable law. Information collected for an order is not unrestricted permission to use it for every future purpose.

    5. Sharing for orders and customer support

    The seller responsible for fulfilment receives the order and delivery information needed for that task. Carriers and providers supporting payment, commerce infrastructure and customer service may receive information needed for their respective services. For a dispute, return or authenticity inquiry, relevant details may be exchanged to identify the transaction, understand the concern and determine the response.

    A seller’s access to buyer information for fulfilment is not permission to use that information for unrelated marketing without a lawful basis. Do not include sensitive information in delivery instructions unless it is necessary to complete the delivery. Information submitted to a public review or other public feature, where offered, can be seen by others; private customer-service channels are more appropriate for an address, order record or personal complaint details.

    6. Shopify and other independent services

    Shopify provides commerce infrastructure used for the storefront and checkout. Its handling of personal information is described in Shopify’s Privacy Policy. Payment methods, account features or other services you choose may involve additional provider terms. Review those terms at the point where you use the service.

    Analytics and advertising services may process information in connection with measurement and marketing, subject to the services enabled and the choices applicable to your visit. Provider information is available through Google’s Privacy Policy. A list of possible technologies is not a statement that every provider operates on every page or for every visitor.

    7. Cookies, preferences and marketing choices

    Some storage supports essential functions such as maintaining a cart or remembering a language choice. Other technologies may support analytics or advertising. Use any privacy controls made available on the storefront and your browser or device controls to manage the relevant choices. Disabling storage may affect sign-in, cart continuity or other features. A browser setting does not necessarily delete information already associated with a completed order.

    You can unsubscribe from marketing email using the unsubscribe mechanism in the message or contact us about your preference. Transactional messages needed to administer an existing purchase, such as shipment or refund information, are distinct from promotional subscriptions. Advertising platforms also provide their own preference controls. Opting out of a particular platform’s personalization does not necessarily stop all advertising or all essential processing.

    8. Legal disclosures and business records

    Relevant information may be disclosed where required or permitted by law, including to respond to a valid legal request, address fraud, protect legal rights or deal with a dispute. A request from a third party does not automatically justify disclosing an entire customer record. The purpose and lawful basis of a disclosure determine what information is appropriate.

    A business reorganization or transfer involving customer information must be handled subject to the applicable privacy requirements. This notice does not grant an unrestricted right to transfer personal information for unrelated purposes. Order, accounting and dispute records may need to be retained even after an account is closed or a marketing subscription ends.

    9. Processing locations and retention

    Information may be processed outside your province or country, including through service providers operating in Canada, the United States or other locations relevant to their services. Information processed in another jurisdiction may be subject to its laws and lawful access requirements. Questions about the handling of a particular category of information can be directed to the privacy contact below.

    Retention depends on the purpose of the information and applicable requirements, such as completing an order, maintaining required financial records, responding to a claim or protecting against fraud. A deletion request does not automatically require destruction of every transaction record, but it should not be treated as permission to retain all information indefinitely. We assess requests in light of the records concerned and the law that applies.

    10. Access, correction and other requests

    You may ask about the personal information held about you, request access or correction, and raise concerns about how it has been used or disclosed. Depending on the applicable law and circumstances, you may also have rights relating to withdrawal of consent, deletion, portability or restriction of a particular use. These rights can be subject to exceptions, including the protection of another person’s information and legally required recordkeeping.

    Contact administration@cop.boutique and identify the request as a privacy matter. We may need proportionate information to verify your identity and understand the records requested. We will not ask you to disclose your account password to exercise a privacy right. If a request cannot be fulfilled in full, we explain the applicable basis and any further options required by law. You may contact the privacy authority with jurisdiction over your concern.

    11. Children and account security

    Purchases and account use must meet the legal-capacity requirements described in the Conditions of Use. Age-restricted activities, where offered, have their own rules. If you believe a child has provided information without the authorization required by law, contact us so the situation can be assessed.

    Protect access to your email account and sign-in codes, particularly on a shared device. Contact customer care if you suspect unauthorized access or receive an unexpected payment or account request. No online service can promise that every transmission or storage system is free of risk. A concern involving exposure of personal information should be reported through the privacy contact without unnecessarily forwarding the exposed information to additional people.

    12. Updates and contact

    We may revise this notice to reflect changes in services, information practices or legal requirements. A new notice does not itself replace any notice or consent required for a materially different use of information. English and French versions are intended to explain the same practices.
